Make the check easy to arrange—and the record easy to keep.

The useful preparation is a complete appliance list, agreed access and clear instructions about where the record should go. A booking alone is not a completed safety check.

The useful starting point

List the relevant gas appliances and flues, arrange access with the occupier and confirm whether servicing is also required. Keep the resulting record and meet the applicable tenant-supply deadlines.

Give the whole scope when booking.

State which gas appliances are supplied with the property and whether there are multiple boilers or other appliances. Appliance ownership and the letting arrangement can affect the responsibilities. Do not assume that every additional appliance is covered by a boiler-only price.

Arrange access before the day.

Confirm the occupier’s details and who will admit the engineer, with their agreement. Explain access to meters, appliances and relevant areas. Share only the information needed to carry out the visit and communicate the arrangements.

Keep checks and maintenance distinct.

HSE describes duties for maintenance and periodic gas-safety checks. A CP12 or landlord gas-safety record does not automatically include a full boiler service. Request both when both are needed and confirm the combined scope and charge.

Handle the record correctly.

For relevant landlord-supplied appliances and flues, HSE sets out annual checking, record retention for at least two years, and supplying records to existing tenants within 28 days or new tenants before occupation. Check the official guidance for your particular arrangement rather than relying on a booking confirmation.

Leave time for findings that need action.

A check may identify a problem that requires separate work. Booking near a deadline does not guarantee that every necessary repair or return visit can happen immediately. Discuss any remedial quote and keep the final documents together.
